Executive Assistant We are seeking an Executive Assistant to support the expanding needs of our growing business and presence in the Gulf Coast region and throughout North America.
Reporting to the onsite client Leadership Team, the Executive Assistant will be based inside an industrial manufacturing plant located in La Porte, Texas.
This position is primarily responsible for providing support to the client Operations group.
Support will include assisting with administrative activity deemed appropriate by the supervisory team.
This can include assistance with travel and meeting arrangements, expenses, preparation of presentations and reports, and correspondence to external agencies.
Responsibilities Assisting with the preparation of documents, correspondence, reports, and presentations Professionally managing confidential and sensitive information including Company data/information Managing high volumes of emails and electronic filing Planning and coordination of on-site and off-site meetings, schedules/calendars, conference calls, and management of travel arrangements Managing all forms of information using project and company document management processes, including SharePoint and other network documentation systems Creating and managing a well-organized personal filing system Supporting the Site Leadership Team with coordinating information systems and hardware issue requests Supporting the various office activities (ordering supplies, setting meetings, participating in meetings and producing minutes of meetings) Support of onboarding of core employees, contractors, and interns Minimum Qualifications High School Diploma or GED Minimum 5 years Administrative Assistant or other relevant experience Experience supporting leadership teams strongly preferred Strong attention to detail Advanced computer skills, including working knowledge and experience using Microsoft Office products Well-developed organizational and multi-tasking skills and the ability to be flexible and work well under pressure in a fast-paced environment with changing priorities and circumstances.
Excellent mature judgment and capacity to work in environment where confidentiality is a necessity Ability to work collaboratively and respectfully with others in a team setting and with all levels in the organization Strong verbal and written communication skills with the ability to communicate effectively at all levels of the organization The capability to manage information and data on multiple levels; The successful candidate will maintain a high degree of personal safety and environmental awareness at all times.
This positions requires a strong commitment to safety, quality, and continuous improvement with the ability to follow written and verbal instructions in a safe, efficient manner.
